Inviting team members

Add teammates to your Stash organization in 30 seconds. Pick their role (Admin or Member), they get an email invite, and they join your team.

Inviting team members

Stash is built for teams. Inviting your team takes 30 seconds — they get an email with a link to join, and on first sign-in they choose how they want to authenticate (email verification code, magic link, passkey, or Continue with Google).

Who can do this

Only Admins can invite, remove, or change roles for team members.

How to invite someone

  1. From the sidebar, open SettingsTeam (or click your profile menu and choose Team).

  2. Click Invite member.

  3. Enter their email address.

  4. Pick their role:

    • Admin — full access, including settings, billing, suppliers, costs, reports

    • Member — operational access only (inventory, transfers, receiving, blueprints)

For the full breakdown, see What Admins vs Members can do.

  5. Click Send invite.

The person receives an email with a join link. When they click it, they pick their sign-in method — email verification code, magic link, passkey, or Continue with Google. No password needed. Once they complete sign-in, they appear in your team list.

Inviting multiple people at once

You can paste several email addresses separated by commas in the same invite dialog. They'll all get the same role. To assign different roles, do them in separate batches.

Resending an invite

If someone hasn't accepted yet:

  1. Open the Team page.

  2. Find the pending invite.

  3. Click Resend.

Pending invites expire after 7 days — resending generates a fresh link.

Removing a team member

  1. Open the Team page.

  2. Find the member.

  3. Click the menu (⋯) and choose Remove.

  4. Confirm.

The user loses access immediately. Any records they created (POs, transfers, adjustments) are preserved with their name attached for audit.

Changing someone's role

  1. Open the Team page.

  2. Find the member.

  3. Click their role and pick a new one.

The change takes effect immediately. The person doesn't need to sign out and back in.

Good to know

One email per organization

An email address can only be a member of one Stash organization at a time. If they're already a member elsewhere, they'd need to switch.

Can the same person work at multiple organizations?

Yes — using different email addresses. Stash also supports switching between organizations if a person is part of more than one with the same email (uncommon, but possible).

How many people can I invite?

It depends on your plan. Core supports up to 2 users, Pro up to 5, and Scale is custom. The Team page shows your current usage.

What if a teammate has trouble signing in?

Send them to I can't sign in for the troubleshooting walkthrough.
