Add a vendor you buy from. Once added, you can use them on purchase orders and the Order Planner can forecast when to reorder.

Adding a supplier

A supplier (also called a vendor) is a business you buy from. Adding suppliers to Stash unlocks purchase orders, automatic reorder suggestions in the Order Planner, and supplier-grouped reorder lists.

You only need a name to add a supplier — everything else is optional. But the more you fill in (especially lead time and delivery days), the smarter Stash gets at telling you when to reorder.

Who can do this

Both Admins and Members can add suppliers.

How to add a supplier

  1. From the sidebar, open Suppliers.

  2. Click Add Supplier in the top right.

  3. Enter the Supplier name (required). Example: Premium Coffee Co.

  4. Optionally fill in:

    • Contact person — who you talk to (e.g., John Smith)

    • Email — for sending purchase orders

    • Phone — for urgent issues

    • Website — for quick reference

    • Lead time (days) — how long they take from order to delivery (used by the Order Planner)

    • Logo — Stash can auto-generate one from the website, or you can upload your own

  5. Click Add Supplier.

The supplier appears in your supplier list immediately and becomes available to select on items, purchase orders, and the Order Planner.

What to add later

From the supplier's detail page you can also configure:

  • Safety buffer (days) — extra days added to lead time in case the supplier is late. Default: 1 day.

  • Minimum order value — order suggestions below this amount will show a warning.

  • Delivery days — which days of the week this supplier delivers (Monday–Sunday, multi-select).

  • Notes — anything internal your team needs to know.

These all feed into the Order Planner so it suggests realistic order dates. See Editing supplier details, lead time, and delivery days.

Linking items to a supplier

Adding a supplier doesn't automatically link your inventory items to it. To connect items:

  1. Open an inventory item.

  2. Edit it and select this supplier as the primary supplier (or secondary).

  3. Save.

An item must have at least a primary supplier with a lead time for the Order Planner to forecast reorder dates for it. See How Stash calculates when to reorder.

Good to know

Logos

If you provide a website, Stash will try to fetch the supplier's favicon and use it as the logo automatically. You can replace it with your own image at any time.

Privacy

Supplier contact details (email, phone, contact person) are visible to all team members with permission to view suppliers. There's no per-supplier privacy setting.
