Editing or deleting an inventory item

Change any field on an item, or remove it from your inventory entirely. Some items can't be deleted while they're still in use.

Editing or deleting an inventory item

Once an item exists in Stash, you can change any field on it at any time, or delete it entirely. Edits update the item everywhere — in Blueprints that use it, in open purchase orders, in transfers, and in reports.

Who can do this

Both Admins and Members can edit and delete inventory items. Cost prices remain editable only by Admins.

Editing an item

  1. Open Inventory from the sidebar.

  2. Click the item you want to edit. Its details panel opens.

  3. Click Edit (or the pencil icon).

  4. Change any field — name, unit, cost price, low stock threshold, supplier, image, etc.

  5. Click Save.

Changes apply immediately. If the item is used in a Blueprint, the Blueprint's deduction preview will recalculate the next time it's opened.

Adjusting stock vs editing the item

If you only need to change the quantity (e.g., after a stock count), use Adjust stock instead of editing the quantity field directly. Adjusting stock creates a transaction record so you have a full history of why the number changed. Editing the quantity field directly is overwritten without a reason — fine for fixing typos, not for recurring counts. See Adjusting stock quantity manually.

Deleting an item

  1. Open the item's detail page.

  2. Click the menu (⋯) and choose Delete.

  3. Confirm.

Deleting an item is permanent. The item disappears from inventory, lists, and search. Its transaction history is preserved in audit logs but is no longer linked to a live item.

What blocks deletion

Some items can't be deleted while they're still in use:

If you can't delete an item, Stash will show you a message explaining why and where it's still being used.

Bulk editing and bulk deleting

To edit or delete many items at once, select multiple items in the inventory list (use the checkboxes), then use the bulk actions bar at the top.
